What happens to an employee's mailbox after they resign - do we keep paying for it?

Not if it is handled properly. We block the login, sign the account out of every device it was signed into, and turn the mailbox into a shared mailbox, which keeps every old message searchable without a paid licence attached to it. Their manager or replacement can then be given access to answer whatever still arrives at that address. Two limits are worth knowing: a shared mailbox has a size ceiling, and if the account must be preserved for a legal case or an audit hold, it does have to stay licensed, which is a genuine ongoing cost you should decide on rather than discover.

Can staff use this on their own phones, and can we wipe it if a phone is lost?

Yes to both, with one honest caveat about what wiping means on a personal handset. The device controls in Business Premium keep company mail and files in a managed area on the phone, insist on a screen lock, and let us remove only the company side, leaving the owner's photos, WhatsApp and payment apps completely alone. Staff have to accept the enrolment, so tell them plainly what you can and cannot see, because saying it up front prevents a lot of bad feeling later. On a company-owned laptop or phone we can go further and erase the whole device.

How do you handle the huge PST archive files sitting on people's laptops?

We collect them and load them into online archive mailboxes, so the mail becomes searchable from any device instead of being stranded on one machine. PST files are the most fragile part of any old email setup: they corrupt, they get copied onto pen drives, and they vanish along with the laptop. Loading years of archive eats time and bandwidth, so we normally run it after cutover rather than letting it hold up the go-live date. Bear in mind that very large archives need a higher licence level, which occasionally changes what we recommend for two or three long-serving staff.

Do we have to commit for a full year, or can we add people as we hire?

Adding a licence takes minutes on any working day and the new person can be reading mail the same morning. Reducing is where businesses get caught out: on the monthly plan you can drop seats at the next billing date, but on an annual term you keep paying for that seat until it expires, used or not. For firms that take on extra hands around a festival rush or an audit season, we normally put the permanent team on the annual term and the floating headcount on monthly. Why does our company email keep landing in customers' spam folders?

Nearly always because your area never had its sender records finished properly. Mail servers at Gmail, Yahoo and the corporate gateways your customers sit behind check three small entries in your area settings to decide whether a message claiming to be from you really is (SPF, DKIM and DMARC), and if those are missing or half done, your quotations get treated as suspicious. Reputation recovers gradually rather than overnight, so give it a fortnight before judging the result.

Is Microsoft 365 better than Google Workspace for us?

Yes. You can pay monthly or take the annual term, and the annual term works out cheaper per user but fixes that seat for the year. Do treat licences as a running cost rather than a one-time buy, budgeted the same way you budget the internet connection, because it renews whether or not anybody reviews it.

We have twelve people but only four need Word and Excel installed. Can we mix plans?

Yes, and mixing is usually the sensible thing to do, because different plans sit happily in the same account. Your four heavy users take Standard or Premium, the other eight take Basic, and all twelve still share one email area, one Teams setup and one file library. The catch is that a Basic user cannot install desktop Excel, so when somebody's role changes you have to remember to upgrade them, and nobody remembers until that person complains. We go through the licence list with you every few months so the count follows your actual payroll instead of quietly creeping upward.

Can we finally switch off the old file server sitting in the corner?

In most offices yes, though seldom on day one. We map the existing shared folders onto SharePoint and OneDrive, keep the department structure people already recognise, and set permissions so accounts cannot browse HR folders and the other way round. Files that a program holds open, such as a Tally data folder, a design library or a database, are usually better left on a local server or a NAS, because live database files and cloud sync do not get along. You gain access from home or a customer site without fiddling with a VPN, but you still need a backup, because the cloud copy is not one.

Someone sent a fake invoice pretending to be our director. Can this stop that?

That exact trick, forging mail from your own area, is what a strict DMARC policy shuts down, and it is one of the first things we set. Once your area instructs receiving servers to reject anything not sent from your approved systems, a fraudster can no longer put your director's real address in the From line and have it delivered. What no setting can prevent is a lookalike area with one letter changed, so we also turn on the external-sender warning banner and add rules that flag mail claiming to come from your senior staff. Tell your accounts team to pick up the phone before acting on any change of bank details, whatever the email looks like.

Which plan do we actually need - Basic, Standard or Premium?

It comes down to two questions: does the person need Word and Excel installed on their machine, and how much control do you want over their device and their login. Business Basic covers company email, Teams and browser versions of the apps, which suits a shop floor or a sales team that lives on a phone. Business Standard adds the installed desktop apps that accounting and admin staff really do need. Business Premium adds the security layer on top, including full control of company laptops and tighter rules about where people may sign in from, and it costs noticeably more per person every month, so it is worth assigning it deliberately rather than to everybody by default.

Can we stop staff from mailing customer lists to their personal address?

Largely yes, using rules that watch outgoing mail and files on the shared drive for the patterns you care about, such as PAN details, bank account numbers or a document marked confidential (data loss prevention). When someone tries to send a price list or a customer database to an outside personal address, the message can be blocked outright, or allowed through with a warning and a record for management to see. Chat and channel messages inside Teams can be watched the same way, but that needs one of the larger enterprise licences rather than Business Premium. Start narrow, because a rule that catches too much gets switched off within a week, and remember that nothing here stops somebody photographing a screen.

Our broadband is slow and drops during the day. Will people still be able to work?

Mostly yes, and the first few days are the real test. Outlook keeps a full copy of each mailbox on the laptop, so staff carry on reading and writing during an outage and everything sends when the line comes back, whereas a Teams call feels every hiccup immediately. The heavy part is the initial download of mailboxes and files, which we schedule overnight or stagger a few users at a time so the office line is not choked during business hours. If the connection drops every day, a second broadband link from a different provider will do more for you than anything we can change in software.

Can our Tally software and the office printer still send emails after the move?

Yes, but every one of them needs reconfiguring, and this is the step most businesses forget until the first invoice fails to leave the building. We copy the mailboxes, the folder structure people have built up, contacts and calendar entries into the new mailboxes first, then run a second pass to pick up whatever arrived while the first copy was running. Your existing mailbox stays live and untouched until you tell us you are satisfied with what landed. The one thing that does not travel on its own is an archive saved as a PST file on somebody's laptop, and we deal with those as a separate job.

Q. We already run a Windows area in the office. Does that keep working?

A separate cloud-to-cloud backup takes its own copy of mailboxes, OneDrive and SharePoint on its own schedule, and it is an additional per-user subscription, which for most businesses is money well spent.
