Not everybody in your company needs the same licence, and buying the top tier for all of them is the easiest way to waste money here. A supervisor who checks mail on a browser twice a day does not need what your finance head needs on a company laptop. We go through the staff list with you and mark who wants installed Office apps, who needs the security and device controls, and who genuinely only needs webmail. Businesses in Ahmedabad usually find the monthly total drops before the migration has even started.
🧭 Microsoft Microsoft 365 Licences, Setup & Email Migration Supply, Setup and Support at multi-branch offices
A new joiner starts on Monday and is still without email on Wednesday because nobody is quite sure who creates accounts. When a tenant is built with proper groups and roles, adding a person takes five minutes and mail, files, Teams and folder access all arrive together. Removing somebody is just as quick, which matters more than most owners expect until the day it does. Offices near S G Highway tend to notice this change before they notice anything else.
Licences bought on a director's credit card arrive with a dollar receipt, no GST input and a support page in another time zone. Buying the same subscriptions through a local partner gets you a rupee invoice, seats you can add or drop as headcount moves, and a number a person answers (Cloud Solution Provider). The software is identical, because it is Microsoft's either way - the billing and the help are not. Microtech Solutions bills in INR and sets up what it sells.
🔑 Why Businesses Pick Microsoft Microsoft 365 Licences, Setup & Email Migration when budgets are tight
A tenant is not something you build once and walk away from - people join, Microsoft changes a default, a policy quietly starts blocking something that worked last month. We stay on afterwards: adding and removing users, watching the security dashboard, reviewing licence counts before the renewal date rather than on it. You deal with someone who already knows your setup instead of explaining it again to a new ticket. Plenty of businesses keep us on for that reason alone.
The week of a mail move is the week everyone remembers, so we plan it around your business rather than ours. Mail routing is switched after hours, both the old and new systems carry mail for a while, and nothing is deleted from the old platform for a fortnight. If something looks wrong on Monday morning there is a way back, which is the part rushed migrations always skip. Microtech Solutions has done enough of these to know where mail actually goes missing.
Files Off WhatsApp and into a Shared Drive for Agencies near S G Highway
A garment exporter with a unit near S G Highway and about sixty staff discovered that buyers overseas were receiving payment instructions from an address one letter different from theirs. We took over the area records, published exactly which servers may send on their behalf, watched the reports for two weeks and then moved the policy to reject, so forged mail now fails at the receiving end. Internal alerts from their shipping software were found and fixed during that watching period rather than after. Their finance head no longer starts every payment call by asking the buyer to read the sender address aloud.
🛡️ WHO HOLDS THE KEYS AFTER GO-LIVE
How a Migration Is Planned Before Anyone Touches Your Mail
Admin credentials belong to you, not to us. At handover the global admin account, the recovery details and the emergency account are written down and passed to a director, in a sealed envelope or a password manager entry, whichever you prefer. If you later change partners, nothing has to be prised out of anyone's hands.
What a support arrangement with us usually covers:
▪Company Phone and Laptop Controls with Intune
▪Microsoft Defender for Business Rollout
▪Shared Drive Setup on SharePoint and OneDrive
▪Single Sign-On and Second-Check Login (Entra ID, MFA)
*Note: We act as an independent supplier and integrator. Product names and trademarks remain the property of their respective owners.*
💡 Engineering Fact: A mailbox stores mail and needs a licence. An alias is just a second address into the same mailbox and costs nothing. A distribution list stores nothing at all - it copies incoming mail to a group. Picking the wrong one is how firms overpay for years.
📱 PHONES AND LAPTOPS
What happens when a staff handset with company mail on it goes missing in S G Highway? Enrolment now means a wipe from a browser later, with personal photos and chats untouched.
📚 Full Range with Honest Comparisons for first-time buyers
Below you will find licence tiers, security add-ons and the support arrangements that go with them:
Microsoft 365 Business Standard - Installed Office Apps, Email and Teams
For office teams who need Word and Excel installed on the laptop, company email on every phone, and one place to keep files. This is where most small and mid-sized firms land.
🔹 SETUP TIME
A fresh tenant with your area verified is usually usable within a working day, with the old mail moving across in parallel.
🔹 MAILBOX SIZE
50GB each, which is several years of mail for most people, plus shared calendars the whole team can see.
🔹 MEETINGS
Video calls for up to 300 people, recordings, and outside guests who can join without any Microsoft account of their own.
Microsoft 365 Business Premium - Standard Plus Security and Device Control
For firms holding client money, patient records or drawings, where one stolen laptop is a real problem. Everything in Standard, with device control and tougher sign-in rules layered on.
🔹 WHO IT'S FOR
CA firms, clinics, exporters, and any office where staff carry customer data around on a laptop.
🔹 EVERYTHING IN STANDARD
The same installed apps, 50GB mailboxes, cloud drive and Teams - nothing is traded away to get the security.
🔹 SECURITY
Attachments are opened in a sealed test area and links are re-checked at the moment somebody clicks, so a fake invoice PDF does not get its first click (Defender for Business).
Exchange Online Plan 1 and Plan 2 - Company Email on Its Own
For teams that already own Office or spend the day inside Tally, and only want a reliable inbox on the company area. Mail, calendar and contacts, without paying for apps nobody opens.
🔹 PHONE ACCESS
The native mail app on Android and iPhone syncs without installing anything extra (Exchange ActiveSync).
🔹 WHO IT'S FOR
Firms with a perpetual Office licence already installed, or staff whose entire computer use is email.
🔹 SHARED ADDRESSES
Accounts@ and sales@ sit beside the paid mailboxes without needing licences of their own.
Moving the Shared Office Drive into SharePoint and OneDrive
For offices still passing files around on a server in the corner, a NAS box, pen drives or WhatsApp. We lift the folders into the cloud with the structure and the permissions intact.
🔹 HOW LONG IT TAKES
Down to data size and upload speed - a few hundred GB on an ordinary office line runs over several nights.
🔹 WORKING OFFLINE
Files still appear as a normal drive in File Explorer, keep working when the link drops, and catch up when it returns (OneDrive sync).
🔹 WHAT WE DO
Map the folder tree you already have, agree who should see what, then copy it up in stages across nights and weekends.
Microsoft 365 Business Basic - Webmail for Shift and Shop-Floor Staff
The entry plan for giving every employee a proper company address without buying installed Office for people who will never open Excel. Runs in a browser and on the phone.
🔹 DESKTOP OFFICE APPS
Not included. Files open and edit in a browser tab or the mobile apps, which covers reading, approving and light changes.
🔹 MIXING PLANS
One tenant happily runs Basic, Standard and Premium side by side, and a person moves up or down at the next billing cycle.
🔹 USER LIMIT
The small-business plans stop at a few hundred seats; beyond that we move you onto the enterprise line instead.
Teams Calling and Meeting Room Setup (Phone System)
For firms who want the reception line, the desk phones and the boardroom screen running through Teams instead of a separate PBX box. Calls follow the person to laptop or mobile.
🔹 WHO IT'S FOR
Offices nursing an ageing EPABX, retail chains across several branches, and support desks that need calls reaching staff working from home.
🔹 BEFORE YOU COMMIT
Call quality is an internet question, not a Microsoft one. We test the office link and the backup line around S G Highway before anyone signs anything.
🔹 SETUP TIME
Porting existing numbers runs on the operator's clock and is the slow part; the Teams configuration itself takes a couple of days.
Device Management and Lost-Phone Control (Microsoft Intune)
For firms worried about what walks out of the building on a staff phone or laptop. Company data can be removed from a missing device without touching the owner's photos.
🔹 PERSONAL PHONES
On a staff member's own device only the work apps are governed - nobody at the office can see their gallery, contacts or WhatsApp (app protection policies).
🔹 NEW LAPTOP SETUP
A machine can be couriered straight to a branch, unboxed by whoever is there, and configure itself to your settings on first sign-in (Autopilot).
🔹 SETUP TIME
One working session to agree the policies, then devices enrolled in batches so the support calls stay manageable.
Desktop Office Licensing for Larger Firms (Microsoft 365 Apps)
Installed Word, Excel, PowerPoint and Outlook for organisations that have outgrown the small-business plans or already run their email somewhere else. No ceiling on user count.
🔹 WHY NOT A ONE-TIME buy
A boxed copy stops receiving security fixes once its support window closes. A subscription copy keeps getting them, which matters the day a macro-laden invoice arrives.
🔹 WHAT IT DOESN'T INCLUDE
There is no mailbox here. Email either stays where it is or gets bought as a separate Exchange Online plan.
🔹 BILLING
Per named person, not per machine. One employee with a desktop, a laptop and a home PC still needs a single seat.
Ongoing Microsoft 365 Support and Licence Management (Monthly Retainer)
Somebody to call when a new joiner needs an address by 9am or a director cannot sign in before a flight. We look after the tenant month to month so it stops drifting.
🔹 WHAT PEOPLE ACTUALLY RING ABOUT
A phone left in a taxi, a mail that bounced, a shared calendar nobody can open, a folder deleted at 6pm on Friday.
🔹 LICENCE RIGHT-SIZING
Each quarter we list who is paying for what, point out the seats nobody has signed into for months, and drop or downgrade them at renewal.
🔹 HONESTY ABOUT BACKUP
Microsoft keeps the service running; it does not keep a copy of a folder someone deleted eight months ago. We set retention properly and add separate backup where the risk deserves it.

⚠️ Pitfalls to Avoid
Changing the mail routing at eleven on a Tuesday morning is how a day of orders goes missing - the switch belongs to a quiet night.
🔌 Guidelines & Sizing
Decide separately whether you want a third-party backup for the mailboxes and the shared drive, because that is a different product with its own bill.
📈 Upgrade Triggers
Mail works on the laptop but not on the phone, or the other way round, and it is a fresh argument every week.

CLEAR ADVANTAGES - IN PLAIN WORDS
COSTS BEYOND THE QUOTE SPELLED OUT UPFRONT
✓Meetings, department chat and file sharing sit in one place, which is how WhatsApp finally gets retired (Teams).
—Encryption on a document does not stop someone photographing the screen or reading the contents down the phone.
✓Attachments from people you have never dealt with get opened in a safe box first, and links are re-checked at the moment somebody clicks (Safe Links and Safe Attachments).
—Full management of Windows laptops and the stronger sign-in rules only exist on Business Premium; Basic and Standard get just the free mobile controls.
✓Sign-ins from an unknown laptop in another country can be blocked while your office carries on as normal (conditional access).
—A 60 GB mailbox on an ordinary office line takes days to copy, so the big accounts are started well before cutover night.
✓No more pen drives and no more guessing which copy is the latest - department files in one place, 1 TB of personal space each (OneDrive and SharePoint).
—Staff need a short walkthrough, or they will carry on sending files over WhatsApp and never open Teams at all.
✓A new laptop can be handed over still in its box and set itself up on first switch-on (Windows Autopilot).
—Litigation hold and case-based search do come with Business Premium (eDiscovery Standard); it is the advanced compliance tooling - custodian tracking, analytics, predictive coding - that only the top enterprise plan carries.
💡 Engineering Fact: A stamp that cannot be forged travels with every message you send, letting the far end confirm the mail really came from you and was not edited on the way (DKIM signing).

🗒️ Engineer Notes From Real Installations for demanding workloads
Shared mailboxes are the easiest money most companies leave on the table. Every generic address - info@, sales@, careers@, that old address on the printed brochures - can be a shared mailbox with no licence attached, worked from by as many staff as you like. I have taken over tenants where six of those existed as full paid accounts with somebody's password written down. Converting them costs nothing and takes an afternoon.
An on-premise mail server gives you complete control and no monthly bill, which is a real argument. It also gives you a machine that needs power backup, an operating system to patch, a backup someone must check and a person to restart it at eleven on a Sunday night. If your internet is genuinely unreliable and your mail is entirely internal, keeping it can still make sense; for most offices the maths stopped working years ago.
Microsoft 365 versus Google Workspace is the comparison we are asked for most, and Google is a good product - we will say so. Companies whose people live in Sheets and Docs, or who have never used desktop Office, often stay happier there. Microsoft pulls ahead when your accounts team runs heavy Excel files, when you want the installed applications rather than browser versions, or when you need device management and Office in one subscription rather than two.
💡 Engineering Fact: The quietest sign of a broken-into mailbox is a rule the user never wrote - supplier mail sliding into an obscure folder, or a copy going out to an address nobody recognises. Checking for stray forwarding rules takes five minutes and finds real trouble.
🧮 What the Numbers Mean for Your Office for larger offices
The plan tiers matter more than most buyers are told. Business Basic gives mail, the shared drive and Teams with the apps in a browser; Standard adds Word, Excel and Outlook installed on the machine; Premium adds the security and device controls on top of that. Different people in the same company usually need different ones, and you can mix them freely on one bill. We recommend the mix in writing before anything is ordered so you can see the reasoning.
Almost anything can be migrated from. We regularly move companies off free webmail on a personal address, hosting-company mailboxes bundled with a website, an old Exchange or Zimbra server sitting on site, Google Workspace, or an existing Microsoft tenant somebody else set up badly. What comes across is the mail itself with its folder structure, plus contacts, calendars and any shared calendars in use. What does not come across automatically gets listed for you in advance, so there are no surprises on the Monday.
🏆 CORE PARAMETER🔹 Works on phonesMail, calendar and Teams on Android and iPhone, through the handset's own mail app or the Outlook app
🔹 If a phone is lostWork mail and files wiped from that handset remotely, personal photos left alone
🔹 How long setup takesA small tenant usable in a working day; mail cutover overnight, with a settling day for DNS
🔹 Fake invoices and booby-trapped attachmentsOpened in a sealed test area before they reach the inbox, on the Premium plan
🔹 Two-step sign-inA prompt or code on the phone, so a password picked off a fake login page is not enough by itself
🔹 Uptime commitmentMicrosoft's 99.9% availability promise, backed by service credits
🔹 Meetings and callingVideo meetings for up to 300 people; desk-phone numbers through Teams as an add-on
What Microsoft Runs, and What It Leaves to You
Exchange Online is the mail half, and it is the reason most companies move. Each user gets a large mailbox that keeps in step across a laptop, a phone and a browser, so a message read on the way home is already read when you sit down. Shared team calendars, one company address book and generic addresses like info@ or accounts@ that several staff work from are all part of it, and the general addresses need no licence of their own.
SharePoint and OneDrive replace the file server in the corner. Departments get their own areas with proper permissions, individuals get personal space that follows them between machines, and two people can work on the same spreadsheet at the same time without one overwriting the other. Every earlier version of a file stays recoverable for months, which turns an accidental save-over from a crisis into a two-minute fix.

🛠️ Enrolling Company Laptops and Staff Phones across Ahmedabad
If you are handing this to your own IT person, work through the sequence as written - the order matters considerably more than any individual step.
⚙️ Access and Passwords - The Plan for small and mid-sized teams
🔹Keep the old system live and delivering alongside the new one for the first few days, then leave it readable but switched off for a fortnight before anybody deletes a thing.
🔹Count and measure every mailbox before you promise a timeline; a twelve-year-old account with 40GB in it behaves nothing like a new joiner's, and that is what decides whether the move takes a night or a weekend.
🔹Put the sender records in first and in order - publish the permitted senders, then the signing keys, and only then start monitoring before you ever move to enforcement (SPF, then DKIM, then DMARC).
Frequently Asked Questions
Q. What happens to an employee's mailbox after they resign - do we keep paying for it?
Not if it is handled properly. We block the login, sign the account out of every device it was signed into, and turn the mailbox into a shared mailbox, which keeps every old message searchable without a paid licence attached to it. Their manager or replacement can then be given access to answer whatever still arrives at that address. Two limits are worth knowing: a shared mailbox has a size ceiling, and if the account must be preserved for a legal case or an audit hold, it does have to stay licensed, which is a genuine ongoing cost you should decide on rather than discover.
Q. How do you handle the huge PST archive files sitting on people's laptops?
We collect them and load them into online archive mailboxes, so the mail becomes searchable from any device instead of being stranded on one machine. PST files are the most fragile part of any old email setup: they corrupt, they get copied onto pen drives, and they vanish along with the laptop. Loading years of archive eats time and bandwidth, so we normally run it after cutover rather than letting it hold up the go-live date. Bear in mind that very large archives need a higher licence level, which occasionally changes what we recommend for two or three long-serving staff.
Q. Can we finally switch off the old file server sitting in the corner?
In most offices yes, though seldom on day one. We map the existing shared folders onto SharePoint and OneDrive, keep the department structure people already recognise, and set permissions so accounts cannot browse HR folders and the other way round. Files that a program holds open, such as a Tally data folder, a design library or a database, are usually better left on a local server or a NAS, because live database files and cloud sync do not get along. You gain access from home or a customer site without fiddling with a VPN, but you still need a backup, because the cloud copy is not one.
Q. Do we still need a separate backup if everything is in Microsoft's cloud?
Yes, and this is the misunderstanding we correct most often. Microsoft's job is keeping the service running and the data centres alive; it is not keeping a copy of the folder your accountant deleted in March. Deleted items and old versions sit in recycle bins for a limited window and then they are genuinely gone, and ransomware that encrypts a synced OneDrive folder will cheerfully sync the damage upward. A separate cloud-to-cloud backup takes its own copy of mailboxes, OneDrive and SharePoint on its own schedule, and it is an additional per-user subscription, which for most businesses is money well spent.
Q. We already run a Windows area in the office. Does that keep working?
Yes, the two can be joined so people use a single password for both. A small sync tool on your server copies user accounts and group memberships up to Microsoft's directory, so the password someone types to unlock their Windows machine is the same one that opens Outlook and Teams. Logon scripts, mapped drives and shared printers carry on as before while email and files move to the cloud. The trade-off is that the server now has to stay healthy, because if the sync stops, password changes stop flowing with it, which is one reason smaller offices often decide to retire the area controller and go cloud-only instead.
💡 Engineering Fact: The cloud is not a backup. Microsoft protects the service against its own failures; it does not protect you from a staff member who deletes a folder in March and asks for it back in October.
