For an office of ten to fifty people, plan on about a week, of which the actual switchover is one evening. Most of that week is quiet background copying while everyone carries on using the old email exactly as before. On cutover night we point your area at Microsoft, and new mail starts arriving within minutes, although a handful of senders on slow networks can take a few hours to notice the change. Expect a few small irritations the next morning, such as a phone asking for a password again or a signature to be re-added, which is why an engineer stays reachable through that first working day.

Q. What happens to an employee's mailbox after they resign - do we keep paying for it?

Not if it is handled properly. We block the login, sign the account out of every device it was signed into, and turn the mailbox into a shared mailbox, which keeps every old message searchable without a paid licence attached to it. Their manager or replacement can then be given access to answer whatever still arrives at that address. Two limits are worth knowing: a shared mailbox has a size ceiling, and if the account must be preserved for a legal case or an audit hold, it does have to stay licensed, which is a genuine ongoing cost you should decide on rather than discover.

Q. What exactly do you change inside the tenant to lock it down?

The short answer: every account asked for the phone as well as the password, the number of full administrator accounts cut down to two, and the old login methods that bypass that second step switched off. Beyond that we set rules about where logins are accepted from, tighten the anti-phishing settings, and turn on the audit log so there is a record when something looks wrong. Microsoft scores your account against its own recommendations, and we work down that list with you, explaining which items are worth the friction and which are not. Some of this does mildly annoy staff, and that is the trade we would rather discuss with you than spring on you.

Q. Which plan do we actually need - Basic, Standard or Premium?

It comes down to two questions: does the person need Word and Excel installed on their machine, and how much control do you want over their device and their login. Business Basic covers company email, Teams and browser versions of the apps, which suits a shop floor or a sales team that lives on a phone. Business Standard adds the installed desktop apps that accounting and admin staff really do need. Business Premium adds the security layer on top, including full control of company laptops and tighter rules about where people may sign in from, and it costs noticeably more per person every month, so it is worth assigning it deliberately rather than to everybody by default.

💡 Engineering Fact: The cloud is not a backup. Microsoft protects the service against its own failures; it does not protect you from a staff member who deletes a folder in March and asks for it back in October.
